1. Who this policy covers

This policy applies to Amani Advanced Women’s Care, the specialist obstetrics and gynaecology practice of Dr I Motau, Suite 1, Netcare Jakaranda Hospital, 213 Middelberg St, Muckleneuk, Pretoria, 0002 (“Amani”, “we”, “us”). It covers information we collect through this website, by phone, WhatsApp, email and in person as part of your care.

2. Information we collect

Depending on how you interact with us, we may collect:

• Contact details you give us through the contact form, phone or WhatsApp — name, phone number, email address and the content of your message.
• Your email address if you subscribe to our care notes.
• Personal and health information you share with us as a patient, including clinical history, examination and scan findings, test results, medication and treatment records, and medical aid or billing details.
• Technical information your browser sends automatically when you load this website (such as browser type and device), which we do not currently combine with any analytics or advertising service.

3. How we use your information

• To respond to enquiries and arrange appointments.
• To provide, manage and follow up your clinical care.
• To submit claims to your medical aid on your behalf, where applicable.
• To send you care notes by email, only if you have subscribed, and to let you unsubscribe at any time.
• To meet our legal and professional record-keeping obligations as a medical practice regulated by the HPCSA.

4. Our legal basis for processing

We process personal information on one or more of the grounds recognised by POPIA: your consent (for example, subscribing to care notes), the steps needed to provide healthcare you have asked for, our legal obligation to keep medical records, and our legitimate interest in running the practice safely and efficiently.

5. Who we share information with

We do not sell your information. We may share it with:

• Netcare Jakaranda Hospital, where consultations, scans and procedures take place.
• Your medical aid scheme or administrator, to process claims.
• Other healthcare providers involved in your care, such as a referring doctor or a specialist we refer you to, with your knowledge.
• Service providers who support our practice (for example, email or hosting providers), bound to keep information confidential and to use it only for the purpose we specify.
• Anyone else only where the law requires or permits it.

6. Keeping your information secure

We take reasonable technical and organisational steps to protect your information against loss, unauthorised access, alteration or disclosure, including restricting access to staff who need it to do their jobs and storing clinical records securely.

7. How long we keep it

Clinical records are kept for the period required of a South African medical practice — at least six years from your last visit, longer where the law requires (for example, obstetric records relating to a minor). Enquiry and newsletter information is kept only for as long as it is needed for that purpose, or until you ask us to delete it.

8. Cookies and website technology

This website does not currently use cookies, analytics or advertising trackers. If that changes, this policy will be updated to explain what is used and why.

9. Your rights

Under POPIA you have the right to:

• Ask us to confirm what personal information we hold about you and to access it.
• Ask us to correct information that is inaccurate, outdated or incomplete.
• Ask us to delete or stop processing information we no longer have a lawful reason to hold.
• Object to processing based on legitimate interest, or withdraw consent (for example, unsubscribing from care notes) at any time.
• Complain to the Information Regulator if you believe we have handled your information unlawfully — see our POPIA page for details.

10. Children

We do not knowingly collect personal information from children through this website outside of the clinical care of a minor patient, which is handled directly with a parent or guardian.

11. Changes to this policy

We may update this policy from time to time. The date above shows when it was last changed.
